At Yvorion, we understand that travel plans can change. This Refund Policy outlines our cancellation and refund procedures to provide you with flexibility while ensuring fair business practices. We strive to offer reasonable terms that protect both our clients and our business operations.

2. General Cancellation Policy

All cancellations must be submitted in writing via email to [email protected] or through your online account. Verbal cancellations will not be accepted. Cancellation fees are based on the number of days prior to the tour departure date.

3. Deposit and Payment Policies

Deposits: Non-refundable deposits may be required for certain tours, particularly during peak season or for specialized experiences. These deposits will be clearly disclosed at the time of booking.

Final Payment: Final payment is typically due 30 days before departure. Failure to provide final payment may result in automatic cancellation and forfeiture of deposit.

Payment Method Refunds: Refunds will be processed to the original payment method used for booking within 5-10 business days of approved cancellation.

4. Special Circumstances

Medical Emergencies

In case of medical emergencies that prevent travel, we may offer more flexible cancellation terms with proper medical documentation. A doctor's certificate or medical report may be required.

Weather and Natural Disasters

If tours are cancelled by Yvorion due to severe weather conditions, natural disasters, or other circumstances beyond our control, clients will receive:

  • Full refund of all payments, or
  • Credit for future travel (valid for 2 years), or
  • Rebooking to alternative dates at no extra cost

Government Travel Restrictions

If government-imposed travel restrictions prevent your participation in a tour, we will work with you to reschedule or provide appropriate compensation based on the specific circumstances.

5. Travel Insurance Recommendation

Important Recommendation

We strongly recommend purchasing comprehensive travel insurance to protect your investment against unforeseen circumstances including medical emergencies, trip interruption, flight delays, and other covered events that may not be covered by our standard refund policy.

6. Group Bookings

Special terms may apply to group bookings (8+ participants). Group cancellation policies will be outlined in your group booking agreement and may differ from individual booking terms.

7. Modifications and Changes

Tour Modifications: Changes to tour dates, accommodation, or other services are subject to availability and may incur additional fees. Modification requests must be submitted at least 14 days before departure.

Name Changes: Name changes on bookings are permitted up to 30 days before departure with proper identification. A processing fee of $50 CAD may apply.

8. Third-Party Services

Some tour components involve third-party providers (hotels, airlines, activity operators). Refund terms for these services may vary and be subject to the third party's individual cancellation policies. We will assist in obtaining refunds where possible but cannot guarantee outcomes with third-party providers.

9. Exclusions

This refund policy does not cover:

  • Personal expenses incurred before or during the tour
  • Additional accommodation or transportation due to early departure
  • Unused portions of tours due to personal choice or illness
  • Changes in personal financial circumstances
  • Failure to obtain required travel documents (passport, visa, etc.)
  • Airline schedule changes or delays

10. Refund Processing

Processing Time: Approved refunds will be processed within 10 business days of cancellation approval.

Refund Method: Refunds will be issued to the original payment method. If the original card is no longer valid, alternative arrangements will be made.

Currency: Refunds will be processed in the same currency as the original payment, subject to current exchange rates if applicable.

11. Dispute Resolution

If you disagree with a cancellation fee or refund decision, you may appeal by contacting our customer service team within 30 days. We will review each case individually and work toward a fair resolution.

12. Force Majeure

Yvorion is not liable for refunds due to circumstances beyond our reasonable control, including but not limited to:

  • Acts of nature, severe weather, or natural disasters
  • Government actions, political unrest, or terrorism
  • Labor strikes or transportation disruptions
  • Public health emergencies or pandemics
  • Supplier bankruptcy or closure

In such cases, we will work with clients to reschedule, provide credit, or offer alternative solutions when possible.
